[*] Scope of Service:

(1) Vendor needs to provide imaging and scanning documents relating to archaeological, architectural and other historic properties.
- All documents shall be scanned at the following specifications:
- 400 PPI resolution for documents.
- Files saved as an PDF/A.
- Photographs scanned at 6000 pixels across the long dimension.
 - Photographs saved as an uncompressed TIFF.
- Documents scanned at 256-bit grayscale or 24-bit color as applicable.
- The Vendor shall be responsible for removing all staples, paper clips, binder clips, prong paper fasteners and comb bindings from bound documents.
- The Vendor shall be responsible for scanning any loose sheets associated with that document in the same order as the physical document. This includes sized sheet up to 1 1 by 17" in size. Upon completing the scanning, the Vendor shall return the loose sheet to the correct document in the correct place.
- The scanned digital images produced, and services provided shall be of the highest caliber workmanship and free of defects. The digital images and document handling procedures shall be performed in accordance with the best standard industrial practices used for these services and following the American national standards institute and Association for Information and Image management standards as applicable.
- Vendor will be responsible to provide an external hard drive of the imaged and scanned documents with required metadata that is compatible with the State's network security protocols and subject to review and acceptance by the SHPD IT manager.
(2) A pre-proposal conference will be held on May 10, 2023.  
(3) All question must be submitted no later than May 12, 2023.
(4) A contract period will be for one year.
