[*] Scope of Service:

(1) Vendor needs to provide student search mailings services to the government authority located in Ames, IA.
- Management of the prospective student search mailing process will include, but is not limited to, the development of selection criteria for purchasing suspect names from established list providers, the creation of all search letters (multiple versions of each), the printing and mailing of all search letters, the receipt of all electronic and paper responses to search letters, and the delivery of electronic files of responders to the office of admissions on a frequent and regular basis.
- The data, specifications, and administrative requirements outlined in this document are intended to serve only as a general guideline. Contractors shall submit a fully detailed offer, which shall include an annual price proposal for all items listed in the Required Services section of this document.
- Contractors are also encouraged to provide additional information that is not specifically identified in this request for proposal to convey any benefits or advantages they offer to the university.
- Compare purchased lists to each other to eliminate duplicate names before the physical and electronic
mailing of search letters
- Draft a customized search letter for each one of several targeted search populations drawn from national pools of high school students who take or exams, or who complete surveys administered, and other list providers.
- Create web-based response pages to allow students to respond to search mailings electronically.
- Receive and enter data from all paper responses to search mailings.
- Receive and enter data from all web-based responses to search mailings.
- Provide electronic data files of responders to the Admissions Office via a secure server provided by the Contractor. The files must be encrypted with a 128-bit encryption key provided by the Admissions Office. The data must be provided in a customized format, agreed upon by both parties, to facilitate the loading of responders directly into the Admissions database.
- Provide instant on-line response rate summaries for both web and paper responders to allow Admissions
- Office staff to analyze the response rates to each search mailing at any time.
- Provide a monthly update of response rates for each search mailing, as well as an annual report.
- Provide unique or customized communication to differentiate State University from other clients.
- Provide innovative search strategies.
(2) All questions must be submitted no later than February 14, 2023
