[*] Scope of Service:

Vendor needs to provide paper to digital document scanning, storage and destruction services PDF and OCR format.
- Retrieve boxes from location during normal working hours, provide chain of custody security of all documents, provide college, district or program management with detailed receipt of quantity of boxes, general details of contents and timeline for scanning.
- Using pre-determined labelling system, prepare inventory of all documents pre-boxed by the college, district or program management in written format and provide to the college, district or program management prior to scanning.
- Prepare documents for high-speed scanning, including removal from folders, removal of staples or paper clips, confirming double or single sided documents, checking for varying paper sizes, etc. replace documents in original order and in original transport box, unless notified in writing of other procedure, verify quality of every scan and adjust to make legible and reproducible, in PDF or OCR format, unless otherwise notified by college, district or program management. Include capability of scanning a wide range of standard feed paper sizes, from 4"x6" to 8.5"x14".
- Prepare documents for high-speed scanning, including removal from folders, removal of staples or paper clips, confirming double or single sided documents, checking for varying paper sizes, etc. replace documents in original order and in original transport box, unless notified in writing of other procedure; verify quality of every scan and adjust to make legible and reproducible, in PDF or OCR format, unless otherwise notified by College, District, or Program Management. Include capability of scanning larger paper sizes, 11"x17".
- Retrieve boxes from location during normal working hours, provide chain of custody security of all documents, provide college, district, or program management with detailed receipt of quantity of boxes, general details of contents and timeline for shredding.
- Provide district with confirmation of thorough, effective and complete destruction of all identified documents, including digital images, CD's and original documents, include date, time and operator name.
