[*] Scope of Service:

Vendor needs to provide electronic document capture, delivery and subsequent secure destruction of scanned paper records services to the government authority located in Idaho.
• Shipping - Vendor will provide shipping containers, labels, and pickup for all documents to be scanned.
• Scanning - Vendor will scan all documents into a PDF format, with OCR recognition. All scans can be in black and white.
• Sequencing - All scanned pages will be correctly reassembled into one PDF.
• Naming – Name the PDF exactly as the paper files. DEQ-IDF will provide examples.
• Quality Control - PDFs will be reviewed by DEQ-IDF to ensure completeness, correct orientation, and overall readability. Vendor will correct any errors or omissions found by DEQ-IDF upon delivery at no additional fee.
• Batch Download - Vendor will provide batch download ability once PDFs have passed the quality control step.
• Document Destruction - DEQ-IDF must give authorization prior to any document destruction. Vendor will securely destroy the paper documents only after DEQ-IDF reviews PDFs for accuracy and
completeness.
• Communication - Vendor will, at a minimum, provide a weekly status update concerning all documents in their possession. Email updates are sufficient.
