[B] Scope of Service:

Vendor needs to provide travel management system to improve the efficiency and transparency of the entire travel process from pre-trip approval to post-trip expense review and reporting.
Online Booking Tool:
- Real-time search and booking capabilities, made available 24 hours a day, seven days a week, with no additional charge and average downtime.
- Maintains traveller profiles, with the capability of adding, maintaining user log in, changing or deleting profiles by users or an administrator.
- Accessible on a smartphone or table.
- Online user support, i.e., chat support, etc.
- A secure website; password protected and contains a ticket and payment authorization system.
- Reservation confirmation screens.
- Permit the use of online changes to be made by the traveller (primary method) or administrator.
- The capability of saving trips or cloning trips.
- List contracted lodging, air, car rental, and rail suppliers.
- Pre-trip approval process to obtain multiple levels of approval via an automated process. capture information about the travel arrangements at the time of booking, i.e., travel itinerary details and trip approvals.
- Provide the ability to utilize or access frequent flyer rewards or rebates associated with travel.
- Include the ability to identify for each traveller multiple funding sources associated with the trip.
- Ability to access the state-contracted, discounted airfares and city pairs, preferred.
- Ability to integrate United States general services administration (GSA) data within the booking process.
- A quality control program or comparable alternative to ensure reservations are correctly booked and documented; including but not limited to: all necessary changes or adjustments in travel documents that may be required due to rescheduling on the part or on part of the traveller prior to the trip or during the trip.
- Automated capability to complete pre-trip audits to ensure that the bookings/fares are adjusted to the lowest fare that meets the traveler need.
- Process for providing credits or refunds for travel services not utilized within seven (7) days of the cancellation or change.
- Description of report(s) showing expense tracking, billing codes, vendor, volume and traveler include billing summary broken down by month including credits and commissions, credit card reconciliation including transaction detail, summary and overview of account, due dates and administrative fee payments and usage reports will be completed, and by trip or traveler, a summary of funding sources.
- Data feed capabilities within the online booking tool for loading and creating multiple new users at one time.
- The ability for authorized users to update profile information includes preferences.
