[B] Scope of Service:
Vendor needs to provide parks and recreation management software for a comprehensive, web-based Recreation Management Software system which is capable of expansion to meet future needs,
- The needs include automated activity registration, facility reservations, membership/pass management, point of service sales, personal training, appointment reservations, financial reporting, Customer Relationship Management (CRM) and marketing reporting, and inventory management,
- System implementation that is standardized across the Parks and Recreation Department,
- Improve and streamline customer service and communications,
- Increase the consistency of collected customer data,
- Increase the ease, accuracy, and variety of reporting,
- Track membership sales, expirations, and renewals,
- Utilize customer information for activity/interest tracking,
- The software shall be able to interface with the existing financial system,
- While a Cloud based system is preferred, and on-prem system will be considered. Data center facilities should meet Uptime Institutes Tier standards,
- The system shall provide for customized role-based permissions,
- The software will not require local administrator rights in order to run. If elevated permissions on specific folders or registries are necessary, those must be identified,
- The proposed system shall interface with or provide data feeds via API to internal and/or external systems, system shall quickly and efficiently fulfil member requests,
- The system shall allow online membership purchases and renewals,
- The System will be able to take payment for all online transactions, online,
- The system shall allow city staff the ability to send text messages with updates and promotions to organized lists, system shall supply marketing templates,
- The System shall support leagues with both manual and automatic assignment of players to teams based on rules,
- Technical support should be provided 24/7 at no additional cost, through online help, email, or telephone service,
- The system shall accept member payments, reservation payments, and any other activity payments either in full, or payment for a single activity, or a partial payment,
- The system can record signatures electronically for signup, waivers, and membership agreements,
- The online portion of the system shall be mobile friendly, etc.
